Office Manager

The Office Manager is responsible for overseeing the day-to-day administrative operations of Eagle Lake Recovery Center, ensuring an efficient, organized, and welcoming environment for staff, clients, and visitors. This role combines administrative leadership, staff coordination, and facility oversight, making it central to the success of both client care and team performance.

Key Responsibilities

AdministrativeManagement

  • Oversee front desk operations, including reception coverage, phone calls, and visitor coordination
  • Maintain and organize client paperwork, office records, and compliance documentation
  • Manage office supplies, inventory, and vendor relationships
  • Coordinate internal communications, meeting agendas, and schedules
  • Support onboarding processes by preparing welcome packets, office setup, and orientation scheduling

StaffSupport & Coordination

  • Assist HR with tracking certifications, trainings, time-off requests, and employee files
  • Coordinate scheduling and shift coverage for admin staff, interns, and support personnel
  • Help maintain up-to-date policy manuals, procedural checklists, and orientation materials
  • Serve as a point of contact for staff questions regarding daily operations or systems

Facility& Operations Oversight

  • Report maintenance issues and coordinate with vendors for repairs or cleaning
  • Ensure compliance with safety, fire, and infection control protocols
  • Assist with audit preparation, licensing inspections, and program compliance reports
  • Maintain front office appearance and professionalism

Technology& Systems Support

  • Provide basic tech troubleshooting or coordinate with IT vendors
  • Maintain office systems and passwords in secure documentation
  • Help staff learn and navigate EMR, phone, or office software tools

Qualitications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • 2+ years of experience in office management, healthcare admin, or behavioral health setting
  • Excellent organizational, multitasking, and time-management skills
  • Proficiency in Microsoft Office / Google Workspace / EMR or CRM systems
  • Strong communication and customer service abilities
  • Ability to maintain confidentiality, discretion, and professionalism at all times
  • Familiarity with HIPAA and basic behavioral health terminology preferred
  • Minimum of one year sobriety if in recovery

Schedule and Environment

  • Full-time | Typically Monday–Friday, 8 AM to 5 PM
  • Occasional evening or weekend availability may be required for coverage or events
  • On-site in a residential treatment facility setting
